VENDOR REGISTRATION

The Green Bay Hmong New Year (GBHNY) 2026 will be held on October 10 - 11 at the UWGB - Kress Events Center, located at 2358 Leon Bond Dr. Green Bay, WI 54311.


Vendor Registration

  • Registration is accepted on a first-come, first paid basis

  • Booth location is not guaranteed until full payment (registration + deposit) is received

  • Within 24 hours of completion of the vendor registration, you will receive an email from GBHNY-vendors vendors@greenbayhmongnewyear.com to set up payment options


Payment & Deadlines

A $100 refundable deposit is due within two weeks of registration. The deposit will be refunded in the following events:


  1. Cancellation notice to the GBHNY Committee at least one (1) month prior to event date

  2. Compliance with rules and vendor responsibilities are met (see Rules and Responsibilities below)

  3. Event cancellation by the GBHNY Committee or its partners


Full payment (registration + deposit) is due by August 11, 2026. Late registrations will incur a $25 late fee after August 11, 2026.


Vendor Contract

Vendor Type

We have limited availibility for vendor spots. If selecting Drink/Boba or Food, please indicate below, the spot you are applying for (see vendor map for locations).

  • Info/Non-profit - 10 spots

  • Merchandise - 7 spots

  • Specialty - 4 spots

  • Drink/Boba - 3 spots

  • Food - 3 spots

  • Food truck - 4 spots

  • Night Party Food truck - 2 spots

Required Documents (Food and Beverage Vendors)

  • Copy of food license

  • Proof of insurance

  • Compliance with all federal, state, and local regulations

All documents must be submitted by September 10, 2026

Failure to submit required documents will result in cancellation without refund


Compliance with Rules

Vendors must follow all facility rules and GBHNY policies. Failure to comply may result in removal without refund.

  • Report any injuries occurring in your booth

  • Do not transfer your booth without approval

  • Contact the committee for late registration approval


Vendor Responsibilities

  • Maintain cleanliness during and after the event

  • Remove all trash and materials

  • Cover any damages caused by you or your team

  • Ensure tents/racks have rubber or plastic bases

  • Secure your own belongings

  • Food vendors no cooking with oil inside facilities or outside on concrete unless in a food truck

Security deposit will not be refunded if not in compliance with rules and responsibilities


GBHNY Committee is not responsible for lost, stolen, or damaged items.


GBHNY Responsibilities

  • Promote the event

  • Provide event coordination

  • Provide proper space for vendors

  • Verify vendor spots are compliant with rules and responsibilities


Events of Default

GBHNY Committee may terminate participation immediately if:

  • Insurance is not provided

  • Booth is used improperly

  • Rules are violated

  • Abusive behavior occurs

  • Booth conditions are unsafe or unsanitary

  • Illegal substances are present

  • Alcohol is served

  • Weapons or prohibited items are sold

  • Unauthorized food or beverages are sold


Termination will result in closure without refund.


Cancellation Policy

  • If GBHNY cancels: Full refund

  • If vendor cancels before September 10, 2026:

    • Full refund

  • If vendor cancels after September 10, 2026:

    • No refund


Set-up Instructions

  • Friday, October 9, 2026 5:00 pm - 10:00 pm

  • Arrivals after 8:00 pm must return Saturday at 8:00 am

  • Additional charges may apply for extended setup time


Security Deposit and Refund Notice

Upon completion of the New Year Celebration, your booth area will be inspected to ensure it is clean and that all trash has been disposed of in the designated dumpsters. Once your space has been properly cleaned and approved by the committee, your security deposit will be refunded within 90 days.


Trash Disposal Requirement and Financial Responsibility

All vendors are required to dispose of all waste and trash in the properly designated dumpsters. Dumpsters will be clearly marked and vendors are solely responsible for ensuring that all waste generated by their booth is placed in the correct dumpster.


Improper disposal of trash, including but not limited to placing waste in the incorrect dumpster, is strictly prohibited. In the event that GBHNY Committee incurs any additional fees, fines, penalties, or charges as a result of a vendor’s improper waste disposal, such costs shall be deducted from all vendor’s security deposit.


If the total charges exceed the amount of the security deposit, the vendor agrees to be financially responsible for the remaining balance and shall remit payment to GBHNY Committee within ninety (90) days of written notice.


Failure to comply with this provision may also result in forfeiture of the full security deposit and may affect eligibility for participation in future events.


Terms Of Agreement

I have read and understood the policies and agree to comply with GBHNY Committee guidelines and event regulations. I understand that:

  • My booth must be clean at the end of the event or my security deposit will not be refunded

  • All information provided is true and accurate

  • Any misrepresentation may result in revocation of booth privileges
